If you’re a luxury wedding photographer looking to strengthen your relationships with wedding planners and better serve them, this post is for you. Planners can be the gatekeepers to some of the most incredible weddings, and when they trust you, you know they’ll bring you into their world again and again.
That said, if you want to work with high-end planners, it’s not just about taking pretty pictures—it’s about becoming a trusted, indispensable part of their couple’s team.
Here’s exactly what planners expect from photographers and how you can build real, lasting connections with them.
What Wedding Planners Expect from a Photographer
Luxury wedding planners are meticulous, detail-obsessed, and deeply invested in their clients’ experience. If you want to be in their inner circle, here’s what you need to deliver:
1. Discreet but Intuitive Presence
High-end weddings are all about atmosphere and emotion. Planners don’t want a photographer who’s loud, disruptive, or constantly directing moments. They want someone who moves seamlessly through the event, capturing magic without making their presence the centre of attention. Think of yourself as a storyteller, not a director. And this applies to your second shooters too. They need to an extension of you and work alongside you cohesively.
2. A Balanced Gallery (Not Just Portraits of the Couple)
Yes, the couple is important, but luxury planners also look forward to seeing:
- Stunning details (tablescapes, florals, stationery, lighting)
- The overall atmosphere (wide shots of the space, moments of movement)
- Genuine guest interactions (not just posed shots, but real emotions)
- And bonus point: behind-the-scenes elements that tell the story (planners at work, vendor collaborations, installations coming together)
When planners receive a gallery full of these moments, it will make sharing your work easier, which in turn attracts more suitable clients who will be attracted to your work. As a planner I have lost count of the enquiries I receive where the couple tells me they already have an idea of whom they want to shoot their wedding because they’ve seen their work on my feed. And that’s me, with my almost 6000 followers. Imagine what it’s like for top planners with 20k+ followers!
3. A Smooth, Professional Process
Luxury service isn’t just about results—it’s about the experience. Be fast with responses, clear with contracts, and generous with communication. If planners feel like they don’t have to chase you for information or images, they’ll love working with you.
4. Thoughtful Image Delivery
Professional, unbranded images is all a planner hopes for. Oh, and a reasonable delivery time frame. If you can provide a small set of high-quality images within a few days, you’ll be a hero. What’s a “reasonable time frame”? Definitely not six months. Up to 3 months, if you have delivered a generous sneak peek, is acceptable.
How to Collaborate and Be a Valued Partner
Want to be the photographer planners rave about? Go beyond just showing up on the wedding day. Here’s how to truly collaborate and be a planner’s dream photographer:
1. Get Involved Early
Don’t wait until the wedding day to understand the planner and couple’s vision. Schedule a call before the wedding to go over mood boards, key moments, and special requests. This makes planners feel confident that you’re aligned with their creative direction and that you won’t need micromanaging on the day.
2. Capture the Planner’s Work Intentionally
Every luxury wedding is a highly curated experience. Planners spend months (sometimes years) curating every detail. Make sure you intentionally capture their work—floral installs, tablescapes, stationery flat lays, and the way the space is designed. They’ll appreciate having stunning images for their portfolio. While you’re not expected to alter your editing style, it’s crucial that you capture the overall aesthetic and those aspects that speak to it.
3. Provide Exclusive, High-Quality Previews
Send planners a handful of beautifully edited images within a few days of the wedding. This allows them to share fresh content while excitement is still high.
4. Offer to Capture Behind-the-Scenes Moments
Luxury planners rarely have good photos of themselves in action. If you can capture moments of them adjusting florals, fixing place settings, or interacting with clients, they’ll love you for it. These small gestures go a long way in strengthening your relationship.
5. Share Images Thoughtfully
When you post wedding images, be thoughtful. Always credit the planner and vendors. A simple tag or mention acknowledges their work and keeps you on their radar for future collaborations.
Final Thoughts
Breaking into the luxury wedding space isn’t about aggressively marketing yourself—it’s about building trust, showing up professionally, and offering real value. When you understand a planner’s needs, deliver a seamless experience, and connect with them authentically, you’ll become the photographer they call on again and again.
So, where do you start? Pick one or two planners whose work you truly admire and begin engaging with them in a meaningful way. Over time, those connections will turn into real opportunities. ✨
